Only ESSENTIAL FACE TO FACE meetings are to take place - Head of Service approval will be required for any booking. Please use electronic platforms such as Teams wherever possible.
Meeting room booking procedure
Where a meeting has been approved by HoS then the following process must be followed:
- Request to be approved by Head of Service and forwarded to: meeting.roombookings@swansea.gov.uk
- Facilities management will advise if request can be accommodated.
- If the meeting can be accommodated Facilities Management will share the civic building risk assessment with meeting organiser for distribution to attendees.
- Meeting organiser to check wellbeing of all external attendees prior to attendance please see sample questions below:
- Have you tested positive for COVID-19 in the last 7 days?
- Are you waiting for a COVID-19 test or the results?
- Do you live with someone who has either tested positive for COVID-19 or had symptoms of COVID-19 in the last 14 days?
- Do you have any of the following symptoms?
- A new, continuous cough*; a high temperature or fever; loss of, or change in, sense of smell or taste?
* a new, continuous cough means coughing for longer than an hour, or three or more coughing episodes in 24 hours. If the patient usually has a cough, it may be worse than usual.

- Meeting organiser to obtain contact details of all attendees prior to meeting and retain these details for Track and Trace purposes (name, email address or contact number).
- On the day of the meeting, the meeting organiser or a nominated person must be available to meet any external attendees.
- The meeting room will be opened 5 minutes prior to the start of meeting by security.
